Project Coordinator

Location: Phoenix, AZ

Employment Type: Full-Time

Role Overview:

We are seeking a highly organized and detail-oriented Project Coordinator. This role is crucial in supporting the pursuit management processes and ensuring the seamless execution of projects. You will be instrumental in facilitating project success by managing administrative tasks, supporting team communication, and maintaining project documentation.

Key Responsibilities:

  • Coordinate Pursuit Efforts: Facilitate the development and assembly of proposals, ensuring all necessary documentation is accurately compiled and compliant with bid requirements.

  • Support Cross-Functional Team Members: Organizing and maintaining project files, tracking deadlines, and coordinating internal communications to streamline proposal processes.

  • Communicate with External Stakeholders: Coordinate with client partners, sub consultants, subcontractors, and other external stakeholders to gain necessary information and documentation.

  • Document Management: Handle the collection, tracking, and organization of all proposal-related forms and documents, ensuring timely submissions and adherence to client specifications.

  • Collaborative Team Support: Act as a central support resource for all team members involved in proposal development, ensuring seamless communication and efficient workflow between departments.

  • Compliance and Submission: Manage the compliance matrix and oversee the final assembly of digital and print proposal documents, ensuring all submissions meet standards, specifications and schedules.


  • Bachelor’s Degree in English, Marketing, Communications, or at least five years of experience in a Project Coordination or administrative role in the construction or engineering industry.

  • Demonstrated ability to manage multiple projects and tasks simultaneously under tight deadlines.

  • Exceptional communication and organizational skills, coupled with a strong attention to detail.

  • Experience in Adobe Acrobat Professional and InDesign.

  • Willingness to travel as needed for project meetings and proposal support.
